Privacy Policy
Last updated 11 August 2026
Tutorboard is built to keep lessons private. Your video and audio are encrypted end-to-end and never stored by us. Whiteboard content is never sold, and the files you record stay on your own computer, unless you turn on Premium cloud backup, which keeps the boards you save in your own private account.
Tutorboard is operated by Solo Bay LTD, trading as Tutorboard ("Tutorboard", "we", "us"), a company registered in England & Wales (company no. 17415499, registered office Unit A, 82 James Carter Road, Mildenhall, IP28 7DE, United Kingdom). Solo Bay LTD is the data controller for the personal data processed through Tutorboard.
This policy explains what we collect when you use the Tutorboard app and website (together, the "Service"), why, and the choices you have. If you have questions, email hello@tutorboard.tech.
1. Who this applies to
Tutorboard has two kinds of user:
- Tutors create an account, run lessons, and may hold a subscription.
- Students join a lesson from a link. Students do not create an account and are not asked for personal details beyond a display name, which the tutor usually sets for them.
2. What we collect
| Data | Why | Where it lives |
|---|---|---|
| Tutor account — email, or Apple ID | To sign you in (Sign in with Apple, or email) and contact you about your account | Our authentication provider (Firebase) |
| Student display names | So you and the student can identify each other in a lesson | In memory during the lesson only |
| Whiteboard strokes, pages, calculator state | To sync the lesson live between tutor and student | Relayed in memory; discarded shortly after the room empties |
| Audio & video | To let you see and talk to each other | Peer-to-peer, encrypted end-to-end; never stored by us |
| Recordings, PDFs, saved boards | Lesson records you choose to keep | Saved locally on your own computer |
| Cloud-backed boards & student list (Premium only) | So your saved whiteboards follow you to a new device | Your private account area on our backend — Premium only |
| Basic technical logs | To keep the Service running and secure | Our hosting provider, short-lived |
What we deliberately do not do:
We do not sell your data. We do not record or store your calls. We do not build advertising profiles. We do not keep your live lesson content after a room ends. (Premium cloud backup, if you turn it on, stores only the whiteboards you deliberately save, in your own private account.)
3. Video and audio are end-to-end encrypted
Calls use WebRTC, which connects tutor and student directly. The media stream is encrypted (DTLS-SRTP) and does not pass through, and is not readable by, our servers. On restricted networks (such as some schools) a relay server may forward the encrypted stream so the call can connect; even then, the media stays encrypted end-to-end and is never stored.
4. Recording lessons
Tutors can record a lesson — the whiteboard, calculator and video — to their own computer. Recordings are saved only on the tutor's device and are never uploaded to us. When a recording starts, the student is shown a clear on-screen "recording" notice. The tutor is responsible for obtaining consent from the student (and, where the student is a minor, from their parent, guardian or school) before recording, and for storing any recording securely and lawfully.
5. Cloud backup (Premium only)
If you subscribe to Premium, the whiteboards you save and your list of students are backed up to a private area of our backend that is tied to your account, so they follow you to a new Mac or after a reinstall. This data is stored only for your account, is protected in transit (HTTPS), is never sold or used for advertising, and is not shared with anyone else. On the Free trial and Base plans nothing is backed up — everything stays on your own computer. You can delete cloud-backed boards from within the app, or ask us to remove all of your cloud data at hello@tutorboard.tech.
6. What is stored in your browser
To keep you signed in and save you re-typing, the Service stores a small amount of data in your browser's local storage, such as your sign-in session token and a remembered name. You can clear this at any time from your browser settings.
We use only strictly necessary cookies/local storage for sign-in and the lesson to work. We do not use advertising or tracking cookies.
7. Service providers we use
We rely on a small number of trusted providers to run the Service. They process data on our behalf under their own security and privacy terms:
- Google Firebase — tutor sign-in via Sign in with Apple or email (stores your email or Apple account identifier and authentication tokens), and the identity used for Premium cloud backup.
- Apple — Sign in with Apple, and App Store subscription billing.
- Cloudflare — hosting, the lesson relay, and Premium cloud backup storage (serves the app; briefly relays whiteboard data in memory; stores your saved boards for Premium).
- Resend — sending sign-in and notification emails.
8. Children and schools
Tutorboard is designed for one-to-one tutoring across a wide range of ages. Because students join without an account and we do not collect their personal information beyond a display name, the Service is not used to build profiles of children. Where a student is a minor, the tutor (and, where relevant, the student's parent, guardian, or school) is responsible for obtaining any consent required to use the Service for that lesson.
9. How long we keep data
- Lesson content (strokes, names) is held only in memory and discarded shortly after the room empties.
- Your tutor account (email or Apple identifier) is kept while your account is active. Ask us to delete it and we will.
- Cloud-backed boards & student list (Premium) are kept in your private account until you delete them or ask us to remove them.
- Your recordings and files are on your own computer, under your control — deleting them is up to you.
10. Your rights
Depending on where you live (for example under UK/EU GDPR), you may have the right to access, correct, or delete the personal data we hold about you, and to object to or restrict certain processing. To exercise any of these, email hello@tutorboard.tech and we will respond within a reasonable time.
11. Changes to this policy
If we make material changes, we will update this page and the "last updated" date above. Continued use of the Service after a change means you accept the updated policy.
